Voice your concerns
Practical Guide
Compliance involves everyone
The UPM way
In UPM, everyone is responsible for maintaining our integrity and ethical standards. We promote a speak-up culture where employees have the opportunity and are encouraged to voice their concerns. All employees must promptly report any suspected or observed misconduct. We do not tolerate retaliation against any person who, in good faith, reports suspected misconduct.
Examples and good practices for you
- Grant UPM the right to perform on-site audits on specific topics to confirm transparency and compliance. These audits benefit both parties: UPM can verify that its business partner complies with the Supplier and Third-Party Code, and the partner gains feedback and opportunities for developing its operations.
- Set up systems to enable accurate reporting, especially regarding environmental permits and emissions, human resources matters, and anti-bribery actions. Respond to UPM’s surveys precisely and on time.
- Communicate your speak-up channels widely on-site, on-line and through employee training. Use local channels that people trust.
- Provide an easily accessible and trustworthy channel for employees and external stakeholders to report misconduct, raise concerns (e.g. related to safety or human rights), or share development ideas. Your employees are a huge talent pool that can produce brilliant ideas.
- Ensure you have a process for handling feedback, and that your employees are familiar with it.
- Clearly state that you do not tolerate retaliation against any person who, in good faith, reports suspected misconduct or participates in an investigation to resolve suspected misconduct. Examples of retaliation include demotion, dismissal, denial of promotion, salary reduction, threats, bullying, or harassment.
- Investigate all reported allegations of misconduct promptly. Take corrective action if misconduct is confirmed, and communicate the outcome to all relevant parties resulting in a fair and unbiased manner.
- Report any suspected or observed misconduct related to UPM employees or the UPM Supplier and Third-Party Code either directly to your UPM contact person or anonymously via UPM's report misconduct channel.
